Opportunities overview
Opportunities help you track potential revenue right in Calendly. When someone books time with you, that meeting is the start of a business relationship. An opportunity tracks what happens next.
Instead of jumping between email, spreadsheets, and other tools, you can see all your potential deals in one place. You can watch them move through your sales process and know exactly how much revenue you have in the pipeline.
Who should use opportunities
Opportunities work best for consultants, coaches, and service providers who meet with clients one-on-one through Calendly. If you send proposals, negotiate contracts, or follow up with clients before they become paying customers, opportunities help you stay organized.
What is an opportunity
An opportunity is a potential deal, project, or a customer that you are working to close. It tracks a single pursuit from initial meeting through completion.
Each opportunity moves through stages:
- New lead
- Intro call scheduled
- Proposal sent
- Completed
- Check in later
You move opportunities between stages as your relationship with the client progresses. This helps you see what work is in play right now.
Key information in an opportunity
Every opportunity has:
- Opportunity name - What this opportunity is about
- Stage - Where it stands in your pipeline
- Contact - The person you are working with
- Value amount - How much revenue this could be worth (optional)
- Close date - When you expect to finish (optional)
- Source - Where the contact heard about you (optional)
- Notes - Any details about the opportunity (optional)
Two ways to create opportunities
Manually: Create an opportunity for any lead, whether they booked a meeting with you or not.
Automatically: Set a rule so that every booking on a specific event type automatically becomes an opportunity. This way your pipeline fills itself.
Follow up on stalled opportunities
Some prospects go quiet after a call. Calendly helps you catch these so no opportunity slips through.
An opportunity becomes idle when:
- Your intro call has happened, and you sent the recap.
- There’s been no activity for 7 days.
Callie uses your opportunity activity to find idle opportunities. Callie drafts stay in Calendly. [Legal and Privacy to confirm this wording before publishing.]
Idle opportunities get a flag on your pipeline. You’ll also see an Idle Opportunity card in Today’s Focus.
Get suggested next steps
Calendly suggests what to do next for your opportunities. These suggestions appear in Today’s Focus. Suggestions can include:
- Stage updates: After a meeting, a suggestion to move the opportunity to the next stage, with the reason, like “Proposal discussed.”
- Idle opportunity flags: A check-in email draft for an opportunity with no recent activity.
- Record updates: Suggested changes to the close date, value, or contact details, based on your meetings and emails.
- Booking reminders: A reminder and draft email for a new opportunity that has no meeting scheduled.
- Status summaries: A one-line update on where the opportunity stands, like “Discussed proposal pricing, waiting for legal review.”
You review every suggestion. Calendly doesn’t change an opportunity or send an email until you accept or send it.
Suggestions use your Notetaker recaps.
